Real estate CRM Dubai: what a brokerage should require

What a Dubai brokerage should require of a real estate CRM: portal references, permits, WhatsApp on the lead, and a 30-minute test.

A real estate CRM Dubai brokerages can keep is the one that already holds their listings. It has to attach the portal reference, the Trakheesi permit and the WhatsApp thread to the lead, then hand that lead to the agent who covers the community and the language. Run the test on the system you already pay for before you talk about replacing it.

Pages titled “best real estate CRM” are usually written by a company that sells one. You need the list of records the system must hold, and a way to prove that list in half an hour.

What a real estate CRM in Dubai has to hold

A pipeline with stages called New and Won will store a name. A Dubai deal also needs a listing with a permit, a portal enquiry tied to a reference, a unit with instalments after the transfer, a landlord and a co-broker. Custom fields buried in a note cannot be filtered, and the next agent cannot trust them.

RecordFields that have to existWhat fails when they do not
ListingCommunity, beds, price, permit number, permit expiry, one reference per portalThe ad goes live with a blank permit, or three portals carry three different numbers
EnquirySource, type (WhatsApp, form, call), listing reference, languageThe lead arrives with no unit attached, so nobody knows which ad they answered
ContactPhone, buy or rent, budget, beds, communities, timelineTwo portals create two people, and follow-up has nothing to match against
AssignmentOwner, rule that picked them, next action and dateThe lead sits with an agent who is on a viewing, and the manager cannot see it
DealAsking, offer, final price, contracts, splitCommission is a spreadsheet, and Contract F is a photo on a phone
Off-plan unitProject, handover, payment stages, unit stateThe schedule dies at the booking, and post-handover instalments live in a sheet

One enquiry, walked through the fields

The enquiry below is a worked example, with no client behind it. At 23:10 a buyer writes in Arabic, with no budget, about a 2-bed in Dubai Marina. The message is a Property Finder WhatsApp enquiry. A minute later the lead should hold the Property Finder reference, source, enquiry type, community, two beds, language Arabic, and status new. The owner is the agent who covers Marina and can take the chat in Arabic. The next action is “qualify budget”. The night reply asks buy or rent, budget and timeline, with the price left off and no line saying the unit is free.

How portal leads and listing references should arrive

Property Finder, Bayut and Dubizzle each accept the same advertisement and then store their own listing reference. The Trakheesi number should be the same on all three ads. The CRM has to keep each portal reference on the listing, next to the permit, and the lead has to carry the reference of the ad the person opened. A community name on its own, Marina included, does not point back to the unit, the agent or the permit.

When the portal has no feed you can trust

Whether the account gets a direct feed or an email, the lead has to land in the CRM with source and reference filled in, without an agent copying it off a phone. If the demo only works when someone pastes a CSV, ask them to show last night’s real enquiry.

The same mobile number from Bayut and Property Finder is one person. The second enquiry still has to show, because it may be a different unit. Merging the contact and hiding the second listing is how a viewing gets booked on the wrong tower.

Which Trakheesi fields belong on the listing

The Real Estate Brokerage Practice Guide (November 2024) tells brokerages to obtain a permit through Trakheesi for any real estate advertisement or marketing material, and to display that permit number on the ad. On the listing record that means four fields a person can filter: permit number, expiry, the unit or project it names, and a status that cannot be “published” while the permit is blank or past its date.

For an off-plan primary unit, the permit has to name that unit. The developer NOC and the size and price match are in how to get a Trakheesi permit for a listing. Hold the listing in draft until a named person signs that match.

The same guide requires an off-plan project to be licensed with RERA, an escrow account buyers pay into, and a marketing contract between the developer and the brokerage. Brokers check the project in Mashrooi on the Dubai REST app. Those facts belong on the project record.

Where the WhatsApp thread has to sit

The transcript belongs on the lead, in the brokerage’s CRM, on a WhatsApp Business account the brokerage owns. The agent can answer from the CRM or from the business app on a company line. If the thread lives only in a personal chat, the brokerage loses it when that person resigns.

The service message rules, updated 21 May 2026, open a 24-hour customer service window when the person messages or calls the business. A normal reply can go out inside that window. After it closes, only a pre-approved template can go out. Meta’s pricing, as we read it in October 2026, gives each business phone number 1,000 free service messages a month and charges an ordinary business from the next message. The page dates that change 1 October 2026. Eligible government and non-profit numbers stay free through 31 December 2027. A brokerage needs a payment method on the WhatsApp account, or replies stop when the free tier runs out.

Separate numbers for portal replies and owner campaigns

Portal replies go from the number printed on the listing, because that buyer already asked to hear from you. Owner campaigns go from a separate WhatsApp Business number. Using one number for both mixes a requested reply with a broadcast, and it puts the listing number at risk when a campaign runs hot. On the systems we build for Dubai brokerages, the two jobs stay on different numbers.

What the night reply is allowed to say

A reply at 23:10 can ask buy or rent, budget, beds, timeline and language, and it can repeat what the listing record already says. It has to leave out any availability, view, service charge or payment plan the listing does not already state, along with Contract F and any instruction to transfer money. When the buyer answers with a budget, the agent gets the chat with those fields filled in. Leave viewing bookings to a person unless the calendar is connected and the brokerage has agreed a machine may commit an agent’s time.

How routing and lead status should work

Round-robin sends a Downtown Arabic enquiry to whoever is next, including an English-speaking agent who covers Dubai Hills and is in a viewing. Match community, then language, then who is free. Use round-robin only when no agent matches, because that fallback names an owner and says nothing about who will answer. Write the rule down before the demo. If the only assignment on screen is a wheel, record that round-robin is all they offer.

A repeat enquiry from a known phone goes back to the agent who already owns that person, with the new listing attached. Sending it to a second agent because the wheel spun is how two people from the same office call the same buyer.

Statuses a manager can filter

We ask for a short list, and each status needs an owner and a next action: new, contacted, qualified, viewing, under offer, closed, cold. When a deal dies, record the reason. Qualified means budget, beds, community and timeline are filled in. A viewing is an appointment tied to the contact, the listing and the deal. A manager should open “qualified, no viewing, nothing logged today” without exporting to Excel.

Off-plan payment plans and RERA contracts

A sales pipeline ends at closed, and an off-plan buyer stays on a schedule after that: booking, construction, handover, and sometimes a post-handover plan. Store the stages, amounts and dates, and remind the agent before an instalment. Unit state sits on the unit: available, on hold, reserved, booked. A project-level “units left” counter will sell the same line twice during a launch.

Contracts A, B and F

The practice guide tells brokers to use the smart contracts. Contract A is the marketing agreement between the seller and the brokerage. Contract B is the buyer’s agreement with the broker. Contract F is the sale agreement between seller and buyer. Sales have to be recorded on electronic contracts, and disputes on Contract F go back through Trakheesi. The deal record holds the type, the date, the parties and the file, and it shows which of the three is missing.

When two brokerages share one buyer, store the written split on the deal before anyone treats Contract F as ready. Desks often call that paper Form I, and the November 2024 guide does not define that name. Ask the vendor to generate the file and compare that generated file with the current DLD contract, leaving the demo screenshot out of the check.

The file should also accept what the desk already collects: passport, Emirates ID, title deed, and the developer’s reservation on an off-plan unit, so the next agent can find them.

Commissions, Ejari, and the desk you actually run

Commission is a calculation from numbers the deal already has: final price, the split your contract states between agent, team leader and co-broker, and VAT on the invoice. Asking price, offer price and final price stay as three fields, so the invoice cannot pick the wrong one.

When property management is a different product

Buy a tenancy ledger when the desk manages landlords. Ejari registration is a DLD service, with its own contract, fees and channels, including Dubai REST. Hold the tenancy contract, the cheque schedule (planned, deposited, cleared, bounced), the renewal date, and who chases a bounced cheque. Maintenance and vacancy sit in that same record. A sales-only desk can skip the module. A desk that sells and manages needs one client who can carry a sale and, later, a tenancy.

Who owns the leads when an agent leaves

Dubai desks turn over, so disable the agent’s login and open the lead as the manager. You should still see the WhatsApp transcript, the calls, the viewing, the documents and the next action. Reassigning should move that whole file to another agent in one step. If the answer is that the agent will export their chats on the last day, those chats were on a personal phone.

The practice guide limits where owner numbers may come from. Brokers are not allowed to contact owners who are not on the green list in the Dubai REST app, and a complaint can bring a violation and suspended operations. That limit rules out a purchased file of owner numbers. We only work with lists the brokerage already holds, and we do not keep a copy on our side.

Ask for the cancellation export in the same meeting, and run it during the demo. The file should include listings with permits and portal references, open leads with source and owner, transcripts, and the contract files.

What to ask about lock-in and per-seat cost

Published seat prices move, and a page that freezes them is wrong within a quarter. Write the answers into the proposal before you compare two figures that are not the same kind of number.

QuestionAn answer you can use
Per user, per office, or a minimum invoice? The monthly floor, in writing, at your real headcount, not at one user
What is extra?WhatsApp add-ons, portal connectors, off-plan data, onboarding, and Meta’s own bill
Is that figure before VAT?The invoice total, not the website price
How long is the term, and how do you cancel? The notice date, and whether silence renews it
Can the seat count fall mid-term?Yes or no, on the order form
Who owns workflows and templates? You do, or you are renting them
Where is the data, and for how long after you leave?A dated export window, and the file format
Who answers when a portal rejects a listing?A named channel, and the hours it actually runs

A 12-month term that starts unless you cancel inside a short window costs more than a monthly seat, and a minimum invoice can make a two-person desk pay for five. Both numbers belong on the quote, beside the per-user figure the homepage leads with.

How Arabic should decide who gets the lead

Store the enquiry language on the lead and use it to pick the agent. The agent’s screen has to work right to left if that agent sells in Arabic. Replies go out in the language the person used, and only in a language someone on the team can take over in person. We leave a language switched off when the desk cannot finish the conversation, and Russian or Chinese on an international desk follows the same rule.

What changes if you also sell in Abu Dhabi

RERA and Trakheesi are Dubai Land Department systems. Abu Dhabi is regulated by the Abu Dhabi Real Estate Centre. A tenancy there is registered as Tawtheeq through Dari, which ADREC’s Dari guide walks through, and that record is separate from Ejari. One permit field will mix an Abu Dhabi listing with a Dubai one. If you sell in both emirates, ask to see those two records side by side. Sharjah and the northern emirates are a leasing question, and they sit outside this checklist.

The 30-minute demo test

Book the demo on a system that can receive a real lead, or on the CRM you already run, and use one live listing, because the steps below need a record and a slide of a pipeline has none.

  1. Minutes 0 to 5. Open the listing. Confirm community, beds, price, Trakheesi number, expiry, and a separate reference for Property Finder, Bayut and Dubizzle. Try to mark it published with the permit blank. It should refuse, and stay in draft.
  2. Minutes 5 to 12. Send three enquiries on that listing: a Property Finder WhatsApp message, a Bayut lead, and a call enquiry. Each should land as its own activity, with source, type and listing reference. Send a second portal lead from the same phone and confirm you still have one contact and two enquiries.
  3. Minutes 12 to 18. The agent who covers that community, and who can write in the language of the message, should be the owner. Switch the message to Arabic and confirm it does not land on an English-only agent in another community. If the only assignment on screen is a spinning wheel, stop and write “no rule” in your notes.
  4. Minutes 18 to 24. Ask what a 23:10 lead received, or send one. If the reply states a price, a handover or “still available” without those fields on the listing, the reply made those details up. The transcript has to be on the lead in the CRM. The phone notification tells the agent a message arrived, and the thread still has to be in that record.
  5. Minutes 24 to 30. Leave the lead with no agent note, or set the rule as if a day had passed. It should sit in a status the manager can filter, with a next action, and it should reassign with the transcript intact. Export the lead, the listing and the thread before you stand up. Ask who owns that file if you cancel next month, and whether the seat count can go down.

If step 2 needs a week of sandbox prep, put that week on the timeline they are selling you.

Keep the CRM you have

Most brokerages that call us already pay for a CRM, and the status stays blank because the lead arrived on a phone. Write the lead, the source, the listing reference, the qualification fields and the transcript into that system. Where a portal gives no feed, parse the alert email the desk already gets. When the desk has no system of record, the pipeline has to be one the brokerage owns.

Owner outreach can sit beside that CRM. A broker who needed resale stock in The Valley, a community of AED 1.4 to 1.5 million villas, gave us the owner list. We built each valuation from DLD sales and sent it from a separate WhatsApp Business number: 5,000 owners reached, 7 replies, 2 listings. A broker still approves every report before it goes out, because DLD figures can sit off the live asking price. The story is on the real estate page.

If you want this run against the CRM and the portal accounts you already have, we do that on a scoping call. We map where enquiries slip, connect your own tools, and put one workflow live in 3 to 6 weeks. The setup fee comes back if it does not work in 45 days. The services start on the stack you already run, and the CRM seat in that stack is the one you already pay for.

Frequently asked questions

Are Meta's WhatsApp fees included in a CRM seat?

Treat them as a separate bill. Meta's pricing page, read in October 2026, gives each business phone number 1,000 free service messages a month and charges an ordinary business after that. Templates are billed separately. A seat that says WhatsApp is included has not priced this. Ask whose name is on the WhatsApp Business account, and whether Meta's billing hub has a payment method.

Can a portal login replace the brokerage CRM?

The portal is where the ad runs and where the enquiry starts. Permit expiry, the commission split, the contracts and the transcript have to live in a system the brokerage still controls after you pause spend there. If the only copy of the lead sits in one portal inbox, you notice the week an agent leaves. The portal should feed the record the brokerage owns.

What should the first reply to a portal lead ask?

Ask buy or rent, budget, bedrooms, the community, and how soon they can move, plus the language they wrote in. That is enough to route the lead and to match a later listing. Name the listing they enquired on. Leave price, view, handover and availability alone unless the listing record already states them. A person takes over once those answers are on the lead.

How long does it take to automate around a CRM we already have?

On the builds we do, the first workflow is live in 3 to 6 weeks. Portal leads hit your WhatsApp number and the fields write back to the CRM you already use. A same-afternoon promise is an empty account. Moving open leads, permit numbers and listing references takes longer than turning a login on. Our setup fee comes back if that first workflow does not work in 45 days.

Which documents should sit on the deal, not in a chat?

Contract A with the seller, Contract B with the buyer, and Contract F between them, as the November 2024 brokerage practice guide names those three. Add the passport or Emirates ID, the title deed or the developer's reservation, and the written split when two offices share the buyer. A tenancy desk also needs the Ejari contract and the cheque dates.

Does the CRM have to be in Arabic for the agent, the buyer, or both?

Both, if the team sells in Arabic. Agents need the lead, the buttons and the listing fields in Arabic, right to left, or they keep a second sheet. Buyers need the reply in the language they used. That language is also how you choose the agent. A translate button that still hands every Arabic message to an English-only desk has left the routing undone.
